What do I do when a delivery is out of range?
As soon as a temperature is above the limit, the line turns red, “Out of range”, and the “Corrective action required” block opens. Crushed case, expired date or wrong quantity with a good temperature? Tick “Issue found” on that line: the same block opens.
- Pick what you did (several choices allowed): “Product refused / returned to the driver”, “Product destroyed / discarded”, “Accepted with reservation (noted on the delivery note)”, “Claim to the supplier”, “Replacement requested”.
- If you want, add the “Cause (optional)” (cold chain broken during transport, packaging damaged or soiled, use-by date passed or too short, wrong quantity or product, labelling missing or incomplete) and “What happened to the product (optional)”.
- Photograph the product (“Take a photo” or “Gallery”), add a “Note (optional)” if useful, then “Validate”.
The tablet will not validate an out-of-range line without at least one decision or a note. The delivery then shows “Refused” (if the goods went back on the truck) or “Out of range” in the list, and the manager gets a notification on their phone.
Tip: write the reservation on the delivery note before signing it and photograph it; “Accepted with reservation (noted on the delivery note)” plus that photo is what gets the credit approved.
