Every food safety document, current and in one place.
Food Protection Manager certificate, food handler cards, pest control contract, insurance, your written food safety plan: each one photographed or saved as a PDF from the tablet, dated, with its expiration worked out and a reminder before it lapses. Nothing left in a drawer in the office.
No credit card. Any off-the-shelf Android tablet will do.
The compliance binder, without the binder
Food safety is not only logs. It is also the paperwork you have to produce on request: certificates, contracts, training records. They have to be on hand, readable, and still valid.
What the health department asks for
The FDA Food Code wants at least one Certified Food Protection Manager on staff, and most states or counties add food handler cards for the crew, an allergen training record, and proof that pests are under control: the pest control contract and the service reports. Add the liability insurance certificate and the hood cleaning receipt. Each of these expires.
The trouble with the binder
The pest control contract is in the office, Martin's certificate is at his place, the last service report is somewhere in an e-mail thread. Nobody knows when the contract runs out, and you find out the day someone asks to see it.
What Tracito changes
Every document is photographed or saved from the tablet, filed by category and by person. Documents that expire get a computed valid-until date and a reminder ahead of it. Everything opens in two taps, from the office or from the line.
File it once, find it every time
The Tracito way: you snap the document while it is in your hand, and the tablet takes care of the rest. No scanner, no folder to create.
A name, a category, a photo
Tap "Add a document", give it a name, pick a category: food safety plan, diploma, HACCP training, vaccination, document to renew, or other. A certificate or a training record belongs to someone on the crew: "For whom?", a first name, done.
Then the attachment: take a photo with the tablet, pick one from the gallery, or drop in the PDF the pest control company e-mailed you. Several pages, several files: they all go into the same document. The first name of whoever files it is saved with the time.
Documents that expire, with their date
For anything with an end date, pick it from the list: pest control contract, pest control visit report, fire extinguisher check, liability insurance certificate, gas installation check, used oil collection certificate, hood and duct degreasing, refrigeration maintenance.
Enter the document date and the tablet shows "Valid until …" based on the usual term for that kind of paper. Ahead of the date, a task shows up on the day's list, a banner on the home screen and a notification on the manager's phone. A document filed without a date is flagged on the home screen until someone adds one.
All in one place, ready to show
The module's list shows each document with its category, how many files it holds, the person it belongs to and its validity. Open one: the photos full size, the date, "Filed by Martin on Sep 10, 2026". Each crew member's certificate is filed under their first name, so the whole team's training is one tap away.
A replaced document gets removed; the history keeps what was filed and removed. Without Wi-Fi, the photo stays on the tablet and goes out on its own once the network is back.
The register writes itself
Every filing, every renewal, every removal joins the module's register: date, time, first name, document, files. Nothing gets erased: a removed document stays visible, crossed out, with who removed it and when.
The register exports to PDF or goes out by e-mail, for the period you pick: this week, this month, this year. And the documents themselves open from Inspection mode, next to every other register.
You know, without digging
- The day on one screen. A document coming up for renewal shows on the day's list as a task, right next to the temperature checks. A document filed without a date is flagged on the home screen until it gets one.
- A notification before it expires. A few days before the pest control contract or a certificate runs out, the reminder lands on your phone; again on the day, and a week later if nothing new has been filed.
- Inspection mode. Hand the tablet to the health inspector: a read-only view, every register dated, and the documents opening in two taps, each crew member's training included.
- The summary by e-mail. Every Monday and at the start of each month: what was done, missed and out of range, module by module, documents due for renewal included.
- From your web account. The same registers, the full settings, several locations, a consultant invited in read-only mode.
It fits your kitchen, not the other way around
A category for every piece of paper
Food safety plan, diploma, HACCP training, vaccination, document to renew, other: everything has a place. Your written food safety plan, the SOPs you hand to new hires or the kitchen floor plan go in as PDFs and sit right next to the rest.
A term for each kind of document
Each document to renew has its usual term; the valid-until date is worked out from the date you enter. When the new contract comes in, you file the new version with its date, and the validity and the reminder move with it.
People's documents follow the crew
Manager certificate, food handler card, allergen training, vaccination: filed under the crew member's first name. When someone starts, you photograph their card on day one and it is filed under their name. A second location starts with an empty list: nothing gets mixed up between two kitchens.
One tablet for the whole crew
No account or password per person: whoever files a document picks their first name, and that name goes in the register. Several tablets and phones can be used in the same kitchen; the manager can remove a document from their own phone if needed.
